Returned Item: Meaning in a Merchant Cash Advance

A returned item is a check or electronic payment that a bank sends back unpaid. Items come back for many reasons, including not enough money, a closed account, a stop payment or an authorization dispute.

What does returned item mean?

Every returned ACH debit carries a return reason code. R01 means insufficient funds, R02 means the account is closed, R08 means payment stopped and R10 means the account holder says the debit wasn't authorized. On a paper check, the bank marks the reason on the returned item. Both kinds usually show on your statement with a fee.

Why does returned item matter to your business?

The reason matters as much as the count. Returned debits for insufficient funds tell a funder the account is tight. A stop payment or unauthorized claim against a funder's debit tells it something else: that the merchant stopped paying on purpose. Most MCA contracts treat blocking the funder's debit as a default, and that can trigger fees and collection steps quickly.

What if an MCA debit comes back?

  • Find out the reason. An insufficient funds return is handled very differently from a stop payment.
  • Call the funder the same day and explain what happened.
  • If sales have dropped, ask about reconciliation or a payment change instead of letting returns pile up.

What about returned deposits?

Items can come back on the deposit side too, when a customer's check bounces. Those show as a deposit followed by a reversal, and funders subtract them when they total your revenue.

Where will you see it?

On bank statements as "returned item" or "return" with a fee. In ACH return notices your bank sends. In a funder's payment history, which lists each returned debit and its reason code.
